Web For MDs is committed to providing hospitals with a comprehensive communication platform that enables them to reach their medical staff effectively. We prioritize your privacy and are committed to safeguarding any information collected through our website or our listserv messaging services.

We do not engage in sharing client data, and we take our responsibility to safeguard your information very seriously. We adhere to a strict privacy policy that ensures your data remains safe and secure.

To keep you informed about our information practices and any available choices, we may change this Privacy Policy from time to time. If we make changes, we will notify you by revising the date at the top of the policy and, in some cases, by adding a notice with a statement to our homepage or send you an email notification. We encourage you to review the Privacy Policy whenever you access our services, interact with us, or receive and email from us.

What personal data does Web For MDs collect from me and how do you use it.

Web For MDs collects the following information from you when your hospital signs up with us or when you first obtain privileges in a new hospital that uses our communication tools:

  • Your name, title and degree, medical practice/business name, personal and work email, business and cell phone, business address, your hospital affiliations, your department/section/specialty, and other identifiers your hospital may use.

As part of our service, we monitor email delivery and will contact you when your email bounces and provide you technical support when necessary. You may also update your information by going to the following web page or contacting us directly.

Information we automatically collect when you use our secure electronic voting (e-voting) system only.

  • We collect information about your IP address, access times, and page views.

Information we do not collect from you when you receive emails from your hospital:

  • We do not collect information from tracking cookies when you receive or check your emails.
  • We do not collect information from your hardware devices, browser history, operating system, when you receive or check your emails.
  • We do not collect information from other sources or third parties.

Additionally, when you create a login or login through a third-party, Microsoft Office 365, or your hospital account, we do not obtain any information from such parties unless required by your hospital.

Integration with third-parties:

We do not integrate with third-party services because of our strict privacy policy unless your hospital requires us to do so. If your hospital requires such integration, you will be notified by email and by updates posted on this web page.

We do not transmit your information automatically to any other websites without your approval. Each physician/provider/listserv member must contact us individually and complete the request form allowing Web For MDs to transmit your information to your credentialing organization.

You or your hospital will not be able to connect your email account to our platform.

Because of our strict privacy policy, we can not allow your email to be connected to our platform nor do we allow integration with third-party providers such as Google OAuth.

How we may use your information:

  • Monitor your email delivery
  • Send you notifications on behalf of your hospital administrators, department chair, or section chiefs
  • Communicate with you about privacy or security issues
  • Communicate with you if you have requesed technical support from us or from your hospital regarding our services
  • Update your personal information in all the lists you have subscribed to
  • Audit evoting services
  • Detect security issues or issues arising from malicious viruses
  • Collect information about quality of services provided by Web For MDs
  • Comply with local, state, and federal laws

Disclosure of Information

Web For MDs does not disclose any information to third parties under any circumstances, unless required to do so by law. Since 2001, we have been managing our own data and we have a strict policy to not share, sell, or disclose your data in any format including de-identified data. Realizing data brokers can reverse engineer de-identified data of physicians, we have refrained from sharing, selling, or disclosing any form of user information.

No SPAM policy and Advertising

We have a strict no SPAM policy and do not engage in advertising. You should not experience more SPAM or advertising emails from other sources, as we do not share, sell, or disclose your data with data brokers. We also monitor outgoing newsletters and emails to help authorized hospital staff learn about safe email practices.

Cookies

We do not use cookies to collect browser history data or send promotional emails. As such, you should be able to disable or remove cookies without any issues when using our service. However, your hospital may choose to use cookies in their notifications or emails created by third-party providers. If this affects the functionality of our messaging service, please contact our support team and we will assist you. Rest assured that our strict cookie policy will protect your data and prevent disclosure of your browsing history.

Cellular Data and Emergency Notifications

We do not send text, push notification, or alerts to your mobile devices for promotional or transactional messages. However, we provide a text notification and automated call notification system as an optional feature for our secure evoting system. If your hospital has subscribed to this, you may choose to opt out by following the instructions texted to you on your cell phone. We also offer a text-based evoting service that your hospital may have subscribed to. We DO NOT sell, share or disclose your cellular number with any third-parties.

If your hospital has subscribed to our text-based evoting service, please note that we do not sell, share, or disclose your cellular number with any third-party organizations. Your privacy is important to us, and we are committed to keeping your information safe and secure.

What is Privacy Shield and do you participate in this program?
Privacy Shield as defined by the government is: "The EU-U.S. and Swiss-U.S. Privacy Shield Frameworks were designed by the U.S. Department of Commerce, and the European Commission and Swiss Administration, respectively, to provide companies on both sides of the Atlantic with a mechanism to comply with data protection requirements when transferring personal data from the European Union and Switzerland to the United States in support of transatlantic commerce." Because Web For MDs does not transfer, share, or sell your data to any entity within or outside of the United States, we do not participate in this program.
